Who we are

Syllabus2Calendar is operated by Open Planner LLC, a limited liability company based in Texas, United States. This policy explains what we collect when you use Syllabus2Calendar, how long we keep it, and how to reach us. Questions or requests: admin@syllabus2calendar.com.

What we collect

Syllabus2Calendar does not use accounts, and we never ask you to sign up. We create a temporary, anonymous planning session in your browser and store only what is needed to build your calendar:

  • The syllabus files you upload (PDF, DOCX, TXT, JPG, PNG)
  • Course, coursework, grade-weight, meeting-time and date details extracted from those files, including any corrections you make on the review screen
  • The term dates, timezone, and study preferences you enter
  • The generated study schedule and calendar events
  • Your upload credit balance, which syllabi have been unlocked, and a payment reference from our payment processor
  • A random session token and short recovery code stored in your browser’s local storage so you can return to your plan

We do not ask for your name, school, or student ID. If you enter an email address at checkout, it is collected by our payment processor and used only for your receipt and, where applicable, to help you recover access to a purchase.

How your files are used

The files you select stay on your own device, in your browser’s local storage, so a refresh does not lose your work. To analyse a syllabus, the text and page images from that file are sent to our server and on to a third-party AI document-analysis provider solely to identify courses, coursework, dates and grade weights. We keep the extracted results — courses, dates, weights and your corrections — with your planning session; we do not keep a copy of the original file on our servers. We do not sell your files or their contents, we do not use them for advertising, and we do not use them to train our own models.

Automatic deletion

We do not claim instant deletion, because your planning data is kept briefly so the workflow can continue and so you can return to a purchased plan. A scheduled job deletes this data on the following timetable:

  • Sessions without a completed purchase — extracted syllabus details and generated schedules are deleted after 24 hours.
  • Purchased sessions — planning data is deleted after 7 days, once the recovery window closes.
  • The copies of your files held in your own browser are removed when you clear your browser storage, or when you delete a syllabus in the app.
  • Payment records are retained only as long as required for accounting and legal obligations, and contain no syllabus content.

Service providers

We rely on a small number of processors to run the service: a cloud hosting, database and file-storage provider; an AI provider that performs the document analysis described above; and Stripe for payments. Payment card details are handled entirely by Stripe and never reach our servers. We do not transfer your data to anyone else except where required by law.

Analytics

We record anonymous product events (for example, that an upload started or an export completed) to understand where the workflow breaks. We never send syllabus text, filenames, course names, assignment names, or document contents to any analytics provider.

Cookies and local storage

We do not use advertising or cross-site tracking cookies. We use strictly necessary browser storage and cookies to run the service: your anonymous session token and recovery code, a device token that keeps a session tied to the browser that created it, your selected school theme, and locally cached copies of your uploads so a refresh does not lose your work. Clearing your browser storage removes this data and ends the session on that device. Because we do not track you across sites, we do not respond differently to “Do Not Track” signals.

We do not load third-party analytics, advertising, or social-media tracking scripts on this site.

Emails we send

We send one kind of email: if you ask us to continue your plan on another device, we email the address you enter a link and recovery code for your own session. That is a transactional message you requested, and we do not add the address to a marketing list, do not sell or share it, and do not send promotional email. If you buy credits as a gift, the email address you give at checkout is collected by our payment processor for your receipt; the gift code itself is shown to you on screen rather than emailed. Delivery and bounce handling are performed by our hosting provider’s email service on our behalf, and addresses used for these messages are deleted with the related planning session.

Legal bases for processing

Where the UK GDPR or EU GDPR applies, we process your information to perform the service you asked for (contract), to run and secure the service and understand where it fails (legitimate interests), and to meet accounting and legal obligations (legal obligation). Uploading a syllabus is always your choice, and you can stop at any time without paying.

International transfers

We operate from the United States, and our hosting, database, storage, AI and payment providers may process data in the United States and other countries. Where data leaves the UK, EEA, or Switzerland, our providers rely on recognised transfer mechanisms such as the European Commission’s Standard Contractual Clauses.

How we protect your information

Uploads are held in private storage, transferred over encrypted connections, and scoped to the anonymous session that created them, so another visitor cannot read your files with a guessed link. Access to production systems is limited to those who need it. No system is perfectly secure, so please avoid uploading documents containing sensitive personal information that is not needed to build your calendar.

U.S. state privacy rights

We do not sell personal information, and we do not share it for cross-context behavioural advertising. We do not use your information for profiling that produces legal or similarly significant effects, and we do not knowingly process sensitive personal information. If you are a resident of California, Colorado, Connecticut, Texas, Virginia, or another state with comparable rights, you may request access to, correction of, or deletion of information tied to your session, and you will not be treated differently for exercising those rights. Children

Syllabus2Calendar is intended for college and university students and is not directed to children under 13. We do not knowingly collect information from them.

Your choices and rights

You can remove any file before processing, and you can end a session at any time without paying. Clearing your browser storage ends your session on that device. Depending on where you live, you may have the right to access, correct, or delete the information tied to your session, to receive a copy of it, to object to or restrict certain processing, and to complain to your local data protection authority. To request earlier deletion or exercise those rights, contact admin@syllabus2calendar.com with your recovery code or payment reference if you have one. Because sessions are anonymous, that reference is usually the only way we can locate your data.

We aim to respond to verified requests within 30 days, or 45 days where the law allows an extension. We may need to refuse a request where we cannot connect it to a session, since we hold no account or identity records to verify it against.

Changes to this policy

If we change how we handle your information, we will update this page and the “last updated” date above.
