Syllabus2Calendar is operated by Open Planner LLC. This policy explains what information the service collects, why, how long it is kept, and the choices you have.

Information We Collect
- Account information. Your email address and an authentication record held by our hosted authentication provider. If you sign in with Google, we receive your email address and basic profile identifiers from Google.
- Semester and course information. Semester name, optional school name and academic year, optional term start/end dates, course names, course codes, instructor names, course colors and optional class times you enter.
- Assignment information. Assignment names, due dates, types, notes and completion state you enter.
- Uploaded syllabus files. The PDF, DOCX or TXT files you upload, plus text extracted from them and the dates our rule-based detector found.
- Payment-related information. Whether a semester is unlocked, the amount charged, the payment/session identifier from our payment processor, and the timestamp. Payment-card details are entered directly with Stripe. Open Planner LLC never receives or stores your full card number.
- Referral information. Your referral code, and records linking a referring account to accounts that signed up through that code (used to determine discount eligibility).
- Technical and usage information. Our hosting, database and payment providers process standard request data such as IP address, timestamps, browser/user-agent and error diagnostics for security, abuse prevention and reliability. We do not run advertising trackers or behavioral analytics scripts on this site.
- Communications. If you email support, we keep that correspondence.
We do not ask for your date of birth, gender, precise location, government identifiers, or other sensitive categories of personal information.
Uploaded Syllabi
Syllabus files are uploaded so the application can render the exact pages you uploaded and highlight candidate dates for you to review. Date detection is performed by deterministic pattern rules, not by artificial intelligence. Uploaded syllabi are never used to train AI models, and they are not sold, published or shared with other users.
Files are stored in a private storage bucket. Access is restricted to your own account: file paths are scoped to your user identifier and enforced by server-side storage rules, and viewing requires a short-lived signed link generated for your session.
You can delete an uploaded syllabus at any time from the semester page using Delete original syllabus. Your entered assignments and detected-date review remain unless you delete the semester. Deleting a semester deletes its courses, detected dates, assignments and uploaded files. Deleting your account deletes your uploaded files and your semester data.
How We Use Information
- Providing and operating the service, and keeping you signed in
- Saving your semester so you can return to it
- Generating your tracker spreadsheet (.xlsx) and calendar (.ics) files
- Processing payments and recording which semester is unlocked
- Determining referral discount eligibility
- Providing customer support and responding to your requests
- Detecting, preventing and investigating fraud, abuse and security incidents
- Diagnosing errors and improving performance and reliability
Service Providers
We use these categories of vendors, who process data on our behalf:
- Application hosting and delivery — serves the website and its server functions
- Database, authentication and file storage — stores your account, semester data and uploaded syllabi, and sends authentication emails such as sign-in confirmations and password resets
- Payment processing — Stripe, which handles checkout and card data
We do not use advertising networks, data brokers or behavioral analytics providers. If that changes, we will update this policy and, where required, provide the appropriate controls.
Data Sharing
Open Planner LLC does not sell personal information, and does not share personal information for targeted advertising. Information is shared only:
- with the service providers above, so they can operate the service for us;
- when required by law, subpoena or valid legal process, or to protect the rights, safety or property of users, the public or Open Planner LLC;
- in connection with a merger, acquisition, financing or sale of assets, in which case we will require the recipient to honor this policy or notify you of any material change.
Data Retention
We keep information only as long as reasonably necessary to provide the service, meet legal and accounting obligations, and resolve disputes. You control most of it directly: delete an uploaded syllabus, delete a semester, or delete your account. After account deletion we retain limited transaction records (such as the fact and amount of a purchase) where necessary for financial, tax and fraud-prevention purposes.
Security
We use reasonable administrative, technical and organizational safeguards, including encrypted connections (HTTPS), row-level database authorization so accounts can only reach their own records, private file storage with short-lived signed links, server-side price and entitlement checks, signed payment webhooks, and server-side input validation. No online service can be completely secure, and we do not claim that ours is. If you notice a security problem, email admin@syllabus2calendar.com.
Your Rights and Choices
You can view and edit your semester data in the app, delete individual syllabus files and semesters, and delete your account from Settings. You may also email admin@syllabus2calendar.com to request:
- confirmation of whether we process information about you;
- access to the information we hold;
- correction of inaccurate information;
- deletion of your information;
- a portable copy of the information you provided, where applicable.
We verify requests using the email address associated with your account and respond within the time allowed by applicable law.
Texas Privacy Rights
Texas residents may have rights under the Texas Data Privacy and Security Act, including the right to confirm processing, access, correct, delete and obtain a portable copy of personal data, and to opt out of targeted advertising, the sale of personal data, or certain profiling. We do not conduct targeted advertising, sell personal data, or engage in profiling for automated decisions with legal effects.
To exercise a right, email admin@syllabus2calendar.com with the subject line "Privacy Request". If we decline a request, you may appeal by replying with the subject line "Privacy Appeal"; we will respond in writing with our decision and reasoning. Residents of other states may have similar rights, and we use the same request process for everyone.
Children
Syllabus2Calendar is intended for students aged 13 and older. It is not directed to children under 13, and we do not knowingly collect personal information from them. If we learn that an account belongs to a child under 13, we will stop collecting information from that account and delete it. If you believe a child under 13 has provided personal information, email admin@syllabus2calendar.com and we will remove it.
Cookies and Similar Technologies
We use only what the service needs to work: authentication/session storage in your browser so you stay signed in, a short-lived record of a referral code if you arrive through an invite link, and security-related request protections. We do not use advertising cookies or cross-site tracking pixels, so there is no consent banner to click through.
Changes to This Policy
If we make material changes, we will update the "Last updated" date and, where appropriate, notify you in the app or by email before the change takes effect. Continuing to use the service after an update means the updated policy applies.
